Position Purpose

Through the Big Brothers Big Sisters of America (BBBSA) Professional Fellowship Program* the Project Coordinator, Program Scale is a direct report of the Director, Program Development & Scale. They will support Big Brothers Big Sisters of America’s (BBBSA) national office Program & Impact Team with excellent coordination and administration of program partnerships and development of playbooks to scale best practices. In this role the Project Coordinator will effectively manage timelines, lead the coordination of internal and external meetings, document lessons learned and provide recommendations that support scaling best practices. This work includes working collaboratively across all BBBSA departments to ensure the Big Brothers Big Sisters (BBBS) network of 230+ agencies effectively manage- grants from corporate and private foundations.

The Project Coordinator, Program Scale will also be responsible for writing and submitting reports and other information requested by key stakeholders.

*This position is aligned to BBBSA’s Professional Fellowship Program, an initiative that engages talented professionals in two (2)-year career opportunities. The candidate identified for this role will be a full-time, benefits eligible employee, fully immersed as a team member and accountable to all BBBSA employee policies and organizational practices. This position is funded for a period of two (2) years from their effective date of hire. Continuation of the position after two (2) years is based on business need for the role and continued funding.

Essential Duties and Responsibilities

Program Best Practices and Materials

  • Coordinates meetings with agency leaders at different levels to understand and gain insights about program implementation, innovation, and lessons learned.
  • Summarizes meeting notes, identifies themes, documents action items and maintains records through multiple platforms.
  • Assists team members in developing and sharing best practices, writing playbooks, documenting lessons learned.
  • Collaborates with other departments (Learning & Development, Marketing, Communications, etc.) to upload and disseminate programmatic materials to the BBBS network and other audiences.

Partnership Coordination

  • Coordinates meetings, including logistics, preparation of agendas, presentations, or other documents.
  • Coordinates with external and internal stakeholders to understand priorities and document opportunities for partnership.
  • Supports the BBBSA team in prioritizing partnerships and identifying resources needed to be effective.
  • Ensures timely follow up to partnership meetings and supports the team with meeting goals and deliverables.

Project Management

  • Provides project management supports to the Program & Impact team in establishing project overviews, timelines and tracking key tasks through Asana or other project management systems.
  • Coordinates meetings within the Program & Impact team, across various departments and with external stakeholders (agency leaders, consultants, etc.).
  • Distributes documents, information, instructions, and other resources to ensure both internal and external stakeholders have tools and resources to be effective.
  • Documents progress against project plan, updates leaders and identifies implications for the overall project and connections to other ongoing projects/grants.

Stakeholder Coordination

  • Serves as a primary point of contact for projects when multiple units are involved with the same project to ensure effective and synergistic team actions.
  • Communicates consistently and clearly with Project Leads, team members, and other key stakeholders to keep the projects on track.
  • Proactively identifies potential stakeholders for involvement in projects and recommends when and how others can make meaningful contributions to a project’s success.
  • Directly supports staff involved to ensure that the project is completed, on time, on budget and to the satisfaction of funder expectations.
  • Offers high-level customer service and customer focused problem-solving that builds trust and ensures more effective project implementation.

Education & Related Work Experience

Education Level: High school diploma or G.E.D equivalent required with additional post-secondary coursework or certification related to project management, nonprofit management, office administration, public administration, or other related field preferred OR relevant experience equivalency.

Years of Related Work Experience: A minimum of two (2) years of relevant experience, with an emphasis on administrative excellence and project management.

Skills and Knowledge: Exceptional administrative skills, with high attention to detail; Excellent interpersonal skills, customer service oriented; Excellent verbal and written communication skills; Ability to work independently, managing multiple projects, while achieving results consistently on deadline; Excellent team working skills; ability to collaborate cross-functionally; Highly organized in approach, with ability to set and manage priorities; Highly proficient in Word, Excel, PowerPoint and project management software (such as Asana); Knowledge of youth development programs, especially mentoring and related implementation; Project Management Certification
