Summary of Opportunity:

The Senior Administrative Assistant will be a direct report of the Executive & Board Relations Manager and will work collaboratively within the Executive Office to directly support the President and CEO, the mission and vision of Big Brothers Big Sisters of America (BBBSA). They will use administrative expertise to manage the flow and exchange of information vital to the Executive Office. The Senior Administrative Assistant will be hybrid in metro-Atlanta, Georgia and will require onsite work 1-2 business days of the week in our Buckhead office location or other local area with additional days onsite, as needed.

Essential Duties and Responsibilities

  • Lead executive administrative duties in a fast-paced environment.
  • Manage complex scheduling within the Executive Office for the President and CEO.
  • Support workflows and interactions while maintaining consistent, efficient workflows with measured communication throughout complex and shifting priorities.
  • Draft, review, and send communications on behalf of the President and CEO.
  • Organize and prepare for meetings, including gathering documents and full responsibility for logistics management.
  • Attend meetings and take discussion notes; prepare drafts of meeting minutes and summaries.
  • Answer and respond to phone calls, communicate messages and information to the President and CEO.
  • Manage electronic communications for the President and CEO and escalate messages accordingly.
  • Coordinate travel arrangements for the President and CEO.
  • Prepare, reconcile, and submit credit card reconciliation and personal reimbursement reports for the President and CEO.
  • Document management; handle confidential materials, send and receive items as necessary and maintain appropriate filing systems.
  • Complete a variety of special projects including creating presentations, special reports, and agenda materials as needed.
  • Manage routine and ad-hoc local business errands that require reliable personal transportation (reimbursable expense).
  • Manage related and other duties as assigned in support of department and business needs, including but not limited to collaborating with other departments and/or Sr. Leadership as needed and serving as back-up to other Executive Support Administrators.

  • Provides consistent follow-up regarding assigned projects and after meetings.

Education & Related Work Experience

Education Level: High school diploma or G.E.D equivalent

Years of Related Work Experience: A minimum of 3-5 years of relevant experience, preferably with Executive level staff.
